Deposit and Payments
A deposit of £100.00 per booking is required and is non-refundable. The balance of payment for hire is payable 60 days prior to the wedding. A cancellation is only acceptable in writing. The full outstanding balance is payable if a cancellation is received less than 60 days before the wedding, under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
If you are contracting with us as a consumer, online, by phone, at a wedding fair or any other venue other than our office you have the right to cancel your contract at any time up to 14 calendar days after the day on which you ordered our services. Should you wish to cancel your order you must do so by email to info@spiritcars.co.uk or by letter to Spirit Classic Wedding Cars, Springfield Business Park, Moorend Road, Potterspury, Towcester, Northants, NN12 7QG.
Contact Details
It is the responsibility of the client to ensure that all details held are kept accurate and up to date, any changes to telephone numbers or addresses must be advised, failure to do so and in the event that we are unable to make contact, we reserve the right to offer the date to other clients.
A confirmation letter will be sent out with a request for the balance of payment. This will confirm details of the itinerary as given at the time of booking with any written changes. We will not be liable for any changes to this itinerary unless we have been informed in writing.
Hire Prices
All prices are for a 20-mile radius of our yard at NN12 7QG, there may be a small additional charge for jobs outside this area. This is calculated based on a standard 3-hour booking from the time the Bride is collected. If you require more time, please let us know and we will price accordingly.
In the unlikely event that we are unable to complete the bookings for reasons beyond our control, an alternative vehicle(s) may be supplied. We will endeavour to provide the vehicle requested but must retain the right of substitution in the cases of breakdown or damage to vehicle(s). Beyond this, we will not be liable.
Vehicles and Breakdowns
In the event that we have a breakdown or are inspected by police or VOSA which can take a considerable amount of time and is outside our control, you would be informed immediately if we are unable to carry out your transport a full refund would be given beyond this we accept no responsibility.
Although we will endeavour to meet deadlines we accept no responsibility for any delays however caused. No responsibility will be accepted for restrictions relating to vehicle access to any location.
For the consideration of other clients, smoking is not permitted in any of our vehicles. Although we will take every care, no responsibility will be accepted for any loss or damage to personal property or luggage.
Photographs
At Spirit Classic Wedding Cars, we pride ourselves on all our turnouts and our attention to detail is second to none. We often take photographs of the cars with various members of the Bridal Party and occupants on the wedding day at the various venues.
Often, these are photographs that the photographer won’t be able to get, any good shots we get will be forwarded on to you. We would also like your permission to use photographs taken for our marketing, Facebook, and website pages, but you can opt out of having photos taken on the day or used in our marketing materials.
On the Day
We will check over and agree on the route with you well in advance of the wedding. Please advise us of any narrow roads and any very steep hills that might cause difficulty to classic or vintage cars at any point between the departure address, the ceremony venue, and the reception address.
Our team will inspect these routes within 14 days of receiving the booking. If we consider them not to be safely navigable in the selected car we will advise you and if an alternative car is not available, we will refund in full the booking fee paid. If the roads deteriorate before the wedding, we must be immediately advised by the hirer so we may do another safety inspection. Please attach maps if any address is hard to find.
Whilst we do our utmost to ensure our drivers are punctual, you will understand that we cannot accept responsibility for delays caused by circumstances out of our control. We know how fast our cars travel and we will set departure times in consultation with you nearer the date.
Cleaning and Hygiene
All cars are cleaned before hire. Spirit Classic Wedding Cars does not accept any responsibility for changes in the vehicle’s appearance caused by the weather or terrain during the hire period, although every effort will be made to present the car in its best possible condition.
Clients are responsible for any damage they cause to the interior or exterior of the vehicle on hire to them and will be invoiced accordingly for any repair or valet required in order to reinstate the vehicle to its pre-hire condition.
Clients’ Responsibilities
We do not provide child seats for our vehicles and do not accept responsibility for any you provide. Please note it is illegal for any child under the age of 3 years of age to travel in any classic or vintage car without seatbelts.
If there are any changes or variations including extra mileage to the journeys, other than what was agreed at the time of the booking, the client will be responsible for the extra charges.
Insurance
We are fully insured for wedding car hire. Our insurance covers our chauffeurs and does not cover customers driving our vehicles, nor loss or damage to customers’ possessions or any other consequential losses, delays or, missed events.
Spirit Classic Wedding Cars and its chauffeurs reserve the right to refuse to carry any passenger who is thought to be under the influence of alcohol or drugs and whose behaviour poses a threat either to the chauffeur, the vehicle, or any other passenger(s).
Data Protection
Your personal data is safe with us, we do not collect email addresses forwarding them to third parties as this would be illegal. We will retain your data for a period of 12 months following the date of your wedding, at which time it will be deleted. If you require us to delete it at some other point in time please send us a request by emailing info@spiritcars.co.uk.
The only other information we will keep after this date is the documentation that HMRC requires us to retain for a minimum of six years following our annual tax return. That documentation will be encrypted and password0protected following our tax return and only re-opened at the request of HMRC. After this period has expired, all information will be destroyed.
Other than us, no other party will have access to any of your data with the exception of our accountants, who will be able to access only that which they need to complete our annual tax return to HMRC.
